Physics Department IT Equipment Loan Program

The Physics Department is committed to providing our community with the necessary tools to facilitate research, education, and professional development. To support these goals, we offer a selection of IT equipment available for loan to students, faculty, and staff. This program is designed to ensure that our community has access to high-quality technology resources when and where they are needed. Users can visit the OEC Help Desk office (Mayer Hall 3414) during business hours, Monday through Friday, 10 a.m. to 3 p.m., to pick up equipment.

 

The department maintains the following equipment for checkout. Availability of a specific item will be confirmed by OEC support staff when a request is made.

  1. Reservation Process

    • Online Reservation: Community members interested in borrowing any of the listed items can visit or contact OEC via email (OEC@ucsd.edu) to check availability and reserve equipment. We will implement an online reservation system where users can request to check out specific equipment. The form will capture details such as the user's name, contact information, department, equipment requested, and intended usage period.
    • In-Person Request: Users can also visit the OEC Help Desk office located in Mayer Hall 3414 to make a reservation in person.
  2. Approval and Confirmation

    • Once a request is submitted, it will be reviewed by designated staff members. If the equipment is available, staff will approve the reservation and send a confirmation email with the pickup details.
    • If multiple requests are received for the same item, prioritization will be based on the order of request submission and the importance of the intended use.
  3. Equipment Pickup

    • Users should visit the OEC Help Desk office (MH 3414) during business hours, Monday through Friday, 10 a.m. to 3 p.m., to pick up the equipment. You will be asked to present your UCSD ID and sign a checkout form to confirm receipt of the equipment and agreement to the usage policies.
    • The checkout form will include details such as the condition of the equipment, the expected return date, and any specific instructions for use.
  4. Equipment Return

    • Equipment must be returned by the agreed-upon date. Users should bring the equipment back to the OEC Help Desk office (MH 3414), where staff will inspect it for damage and check it back into the system.
    • Users must sign a return form confirming that the equipment has been returned in good condition.
  1. Eligibility

    • Only students, faculty, researchers, and staff affiliated with the Physics Department are eligible to check out equipment. Special exceptions may be made on a case-by-case basis.
  2. Loan Period

    • The standard loan period is one day or one week, depending on the equipment, with the possibility of an extension if no other requests are pending. Extensions must be requested before the original due date. *Note: The MacBook Air can be loaned for up to one month at a time.*
  3. Care and Usage

    • Users are responsible for taking care of the equipment and using it appropriately. Any damage or malfunction should be reported immediately to OEC@ucsd.edu.
    • Equipment should be used for academic, research, or departmental purposes only. Personal use is not permitted.
  4. Late Returns and Penalties

    • Late returns may result in a penalty, such as restricted access to future equipment loans. Users should notify OEC@ucsd.edu in advance if they are unable to return the equipment on time.
  5. Damage or Loss

    • Users are liable for any damage or loss of the equipment while it is in their possession. In such cases, the department may require reimbursement for repair or replacement costs.
  6. Privacy and Security

    • Users must ensure that any data stored on the equipment is removed before returning it. The department is not responsible for any personal data left on the equipment.
